Prevention in Action 2026 — Registration and Payment Policy

Version
2026-10-16-v1
Status
Approved 2026-10-17 — applies to new registrations

Registration and payment

Quantum Strategies accepts credit cards through secure Stripe checkout, cheques and Interac e-Transfer for this workshop. A completed registration reserves the places or tables identified in your confirmation, subject to availability and the payment arrangement shown on your invoice. An approval quote alone is not a registration and does not reserve inventory.

Card payments

Your card payment is confirmed once the payment provider verifies successful payment. Interrupted or failed payments can be retried from the existing booking; do not submit a second registration.

Cheques

Make cheques payable to Quantum Strategies Inc. and mail them to 301 Pakwa Pl, Unit 1, Saskatoon, SK S7L 6A3, Canada, or bring them to workshop registration at Travelodge by Wyndham Saskatoon on November 17, 2026. Include your invoice number. Your reservation is not cancelled merely because you selected payment at the event. Receipt of a cheque is recorded separately from bank clearance.

Interac e-Transfer

Send payment to [email protected] and include your invoice number in the message or reference. A message that a transfer has been sent does not itself confirm receipt. Quantum will update your invoice when receipt has been verified. Contact [email protected] for remittance questions and April Cook for registration assistance.

Table bookings

An attendee table contains eight workshop registrations at $500 per person, $4,000 before applicable taxes, and reserves eight of the available workshop seats. Vendor booths are a separate $300-per-table base purchase with their own confirmed availability, stated inclusions and applicable tax treatment.

Taxes and exemption claims

Base prices are subject to applicable taxes. Purchasers claiming exemption must select that option at checkout and securely upload supporting documentation for the purchaser and booking. Quantum reviews applicable GST and PST relief separately. An upload is not automatic approval. A valid submitted claim reserves the available places identified in the confirmation while tax review is pending; the final accepted amount and payment instructions follow review. Unsupported claims do not remove tax. Tax-status documents are restricted to authorized administration and finance purposes and are not shared with vendors or used for marketing. A buyer can withdraw a claim and accept the ordinary applicable tax total without registering again.

Organizational registration

The registrant confirms authority to register the named participants and authorize billing to the stated payer. Selecting a deferred payment method does not make a confirmed registration a nonbinding expression of interest. The payment obligation and any cancellation consequences are shown before acceptance.

Cancellations and substitutions

Participant-initiated cancellations and no-shows are non-refundable, except where applicable law requires otherwise or Quantum approves an exception in writing. Confirmed deferred-payment bookings remain payable. A participant may nominate a substitute by contacting April Cook before check-in; the substitution is confirmed and the roster updated without creating an extra seat. Vendor substitutions and changes require approval and cannot increase the table count. Registrations are not credited to unrelated events.

Organizer cancellation or material change

If Quantum cancels the workshop, paid registration and table charges are refundable and unpaid related invoices are cancelled. For a material date or location change, the purchaser may accept the change or cancel for a refund rather than receiving a forced credit. Quantum confirms a refund only once it has been processed. Any rights that cannot be waived by law are preserved.

Privacy and communications

Registration information is used to administer the workshop, billing, access needs and essential event communications. Marketing and promotional-photo permissions are separate and optional. Registrant lists are not shared with vendors or partners. The registration privacy notice explains providers, retention and the privacy contact.

Policy version

Changes apply to future purchases; the version accepted with each existing booking is retained with it. A changed deadline or price cannot be imposed retroactively by editing a webpage.

What we collect and why

We collect billing and contact details, attendee names, organizations and roles, and any dietary or accessibility needs you choose to share. We use them to administer the workshop: reserving places, invoicing, receiving payment, arranging meals and access, check-in, and essential event communications.

If you claim a tax exemption, we collect the supporting document and claim details you provide, solely to review that claim and keep the record our tax obligations require.

Who sees it

Registration details are available to the Quantum staff who run the event. Dietary and accessibility details are limited to staff who need them to make arrangements. Tax documents are limited to staff authorized to review exemption claims; they are never emailed, exported with attendee lists, or shared with vendors, speakers or the event's branding partner.

We do not share registrant lists with vendors or partners.

Service providers

Card payments are processed by Stripe on its own secure payment page; Quantum never receives your card number. Transactional email is sent through Microsoft 365. This website and its database are hosted by DigitalOcean in Toronto, Canada.

How long we keep it

Registration, invoice and payment records are kept for the period our accounting and tax obligations require. Tax-exemption evidence used for a decision is kept for the same records period. Documents uploaded to a checkout that is never submitted are deleted after seven days. Dietary and accessibility notes are deleted after the event's records are closed.

Your choices

Newsletter and promotional-photo permissions are separate and optional; registering does not sign you up for either. For privacy questions, see our Privacy Policy or write to [email protected].
